We don’t just show up on your wedding day and “coordinate” things. We are with you every step of the way in the months leading up to your big event.
In the first meeting with your assigned wedding coordinator, we will sit down together and review your vision for your wedding. What is the style and feel you are going for? Do you have color schemes, themes, must-have elements? We want to understand the basics so we can keep them in mind.
If you need suggestions for photographers, florists, rentals, transportation, or other wedding pros, we have trusted partners we can recommend. Just let us know what you need.
Planning a wedding involves keeping track of many moving parts. We will provide you with a detailed checklist that lays out deadlines and deliverables. This way you know what needs to get done and when. We can review it together regularly.
We will have candid conversations about budget goals and managing costs. If it looks like you are heading over budget in certain areas, we will explore options together. Our goal is to create your dream wedding while staying within financial guardrails.
Your wedding schedule for the rehearsal, ceremony and reception is key. We will work with you to create realistic timelines that allow proper time for each event. We’ll make sure key players in the wedding party and your vendors are briefed on schedules.
Leading up to the wedding, we will contact all your vendors to confirm deliverables, timelines for setup/teardown, meals, lodging, etc. Consider us your point person so you don’t have to talk to a dozen different providers. We got this!
How should the tables be set up? What is the processional order? Where should the photo booth go? We will attend to all aspects of wedding design and sequencing so everything looks cohesive and flows smoothly.
We will direct the wedding rehearsal and make sure all members of the wedding party know where to walk, stand and sit. We’ll also prepare them for basic reception events like the first dance, toasts, cake cutting, etc.
We’ll come equipped with backup supplies for last minute needs – things like extra chairs, place cards, safety pins, stain remover wipes, etc. We’ve seen it all so we’re ready for the unexpected!
In the final week leading up to the wedding, we will reconfirm all vendors and finalize the detailed schedule for the rehearsal, ceremony and reception. We’ll distribute it to all key players. We’ll also make a plan for inclement weather if outdoor events are involved.
If you are hosting a rehearsal dinner, we can coordinate with that venue on the setup, menus, seating arrangements and more. Consider us your point person for all wedding weekend events.
This is what we’re especially excited about! We’ll oversee your vendors to make sure setup goes smoothly. We’ll assist members of the wedding party with getting dressed, photos, transportation, etc. We’ll cue music, line up the processional, and handle any issues. Our goal is for you to have fun!
After the magic of the day, we will coordinate card collection, gift collection, clean up and pack up. We’ll make sure you get sent off in style as you depart!
Day-After Brunch Support
If you are hosting a day-after brunch for out-of-town guests, we can coordinate location details, menus and seating plans ahead of time. During the event, we’ll oversee setup, workflows and takedown.
